Set up a local eSIM data plan before you travel, keep a second eSIM on a different underlying network as backup, and save the venue wifi for large downloads that can wait. Everything below is really just the fine print on that one idea.

I’ve tested this the hard way, standing in exhibit halls from Singapore to Las Vegas watching a client proposal spin and refuse to load. After enough of those moments, you stop hoping the wifi improves and start building a system that doesn’t depend on it.

        Table of Contents

Why Conference Wifi Buckles the Moment You Need It Most

It isn’t bad luck. It’s math. A venue that handles a 500-person conference comfortably can suddenly face 1,000 to 1,500 devices trying to connect at once, all inside the same fifteen minutes before the opening keynote. Each device pulls roughly 1 to 5 megabits just for basic browsing and email. Add video streaming, live polling apps, or a demo running on a loop, and that number climbs fast.

Event planners feel it too. More than half report ongoing wifi reliability problems, according to research cited by Skift.

Then there’s the physical layout. Trade show booths are often built from steel trusses and shipping-crate structures, which block signal the same way a filing cabinet blocks a home router, just at a much bigger scale.

None of this is a venue problem you can complain your way out of. It’s an engineering constraint, and it repeats at every show, in every city.

The Vegas Lesson: When 100,000 Phones Fight Over One Signal

CES is the extreme version of this, and its history is worth knowing. In 2009, AT&T’s network collapsed under the crowd, leaving attendees unable to place a call or send an email from the show floor. Ten years before that, Sprint’s cellular network at Comdex seized up for nearly two hours after 40,000 extra phones showed up overnight.

Las Vegas eventually spent $18 million on a distributed antenna system, built jointly by the major US carriers. Even so, recent CES shows have logged more than 200,000 unique wifi connections and over 6 terabytes of data across four days.

The lesson isn’t that Las Vegas has bad infrastructure. It’s the opposite. Even a purpose-built, multi-carrier, multimillion-dollar network barely keeps pace with one week of demand. If that’s true at the best-resourced venue on the circuit, assume every smaller convention centre is working with less.

Map the Floor Like Signal Zones, Not a Show Floor

Here’s something most guides skip: not all parts of a venue are equally bad. Picture the floor plan in four zones instead of one big room.

Zone 1 — the exhibit hall centre. Steel trusses, packed booths, and hundreds of devices per square metre, all fighting for a handful of access points. Worst zone, every time.

Zone 2 — session and breakout rooms. Fewer people, and usually a dedicated access point per room instead of one shared across a whole hall.

Zone 3 — press rooms, quiet lounges, and corridors near registration. Fewer devices, and organisers often prioritise these areas for media and VIPs.

Zone 4 — loading docks, terraces, and the street outside. No wifi at all, but cellular signal there is frequently stronger than a few metres inside the hall, simply because there’s less steel in the way.

If a call actually matters, don’t take it from your booth. Step into Zone 3, or duck outside to Zone 4 for five minutes. It sounds almost too simple, but it outperforms fiddling with settings once you’re already stuck mid-call.

Attendees Need Bandwidth. Booth Staff Need Uptime.

Most connectivity advice is written for the person walking the floor with a phone in their pocket. That’s only half the audience.

Staffing a booth is a different problem. A lead retrieval scanner that drops connection loses data, not just time. A card reader that stalls mid-transaction is embarrassing for everyone standing there. A demo streaming from a laptop can’t wait for a gap in coverage the way an email can.

The fix is to give booth hardware its own dedicated connection, separate from whoever’s personal phone happens to be nearby. A data-only eSIM, or a small mobile hotspot dedicated purely to the booth’s devices, means a rep taking a personal call doesn’t accidentally interrupt the scanner sync three feet away.

Build Three Tiers of Redundancy Before You Need Them

Frequent travellers who never seem to lose connection at these events tend to run roughly the same structure.

Tier one — primary. A local or regional eSIM data plan, activated on your main device the day before you fly. This carries the bulk of your calls, emails, and app use.

Tier two — fallback. Venue or hotel wifi, kept running in the background for large, non-urgent tasks like downloading a slide deck. Not for anything time-sensitive.

Tier three — emergency. A second eSIM, ideally one riding a different underlying mobile network to your primary plan. A lot of budget resellers piggyback on the same one or two towers, so check the coverage details rather than just the brand name.

One detail that catches people out: a company VPN typically adds 10 to 20 percent data overhead on top of normal use. If your IT policy requires one, budget for it before you land, not after your data runs out on day two.

Your Pre-Event Connectivity Checklist

Two weeks out — confirm your phone or laptop actually supports eSIM (most devices from the last four or five years do), and check it isn’t carrier-locked.

Forty-eight hours out — install your primary eSIM and switch to it briefly before you fly, so any activation issue shows up at home, not at immigration.

Morning of — turn off auto-join for public wifi. Captive portals asking for an email address and company name before granting access cost more time than most people budget for, especially behind a 20,000-person queue at 8:55am.

What It Actually Costs

Option

Typical cost

The catch

Venue exhibitor wifi

$80–$240 per device for a 3-day show

One 2019 exhibition in Santa Clara charged $79.99 per device, per day — and it’s often the most congested network in the building anyway.

Home carrier roaming

Unpredictable

Bill shock is common, especially across multiple countries in one trip.

Regional eSIM, multi-device

Roughly $25–$50 for a week

Needs setting up a day or two ahead of travel.

That’s where an eSIM earns its place. Full disclosure, plans on BazTel, the eSIM provider I founded, start from $1 and cover more than 160 countries, installed with one tap and no QR code to fumble with in an airport queue. I mention it because it’s what I actually use, not because it’s the only option — Airalo and Saily run similar models, and the real differences come down to price per gigabyte and how the install works.

The Timing Trick Almost Nobody Uses

Registration desks generate their own traffic spike. When doors open, authentication requests can hit over 1,000 simultaneous attempts inside a few minutes, as the network tries to onboard an entire morning’s crowd at once.

Connecting fifteen minutes before doors open, or waiting until the queue thins after the opening keynote starts, avoids that spike entirely. It’s a small habit, and it consistently beats troubleshooting settings once you’re already stuck in it.

Frequently Asked Questions

Is an eSIM actually better than trade show wifi?

For anything time-sensitive, yes. Venue wifi is shared with everyone in the building. An eSIM data plan is yours alone, which matters most exactly when the hall is busiest.

How much data do I need for a three-day conference?

For one device doing email, messaging, and moderate browsing, 3–5GB comfortably covers three days. Add another 2–3GB if you’re joining video calls or streaming a demo.

Can I run two eSIMs at once?

Most phones from the last few years support dual eSIM, or one eSIM alongside a physical SIM. Check your device’s cellular settings before you travel, not after you land.

Does a VPN slow down my connection at conferences?

It adds overhead rather than raw slowness, typically 10–20% more data for the same task. On an already congested network, that overhead is often the difference between a call that holds and one that drops.

What is a DAS, and why does it matter for my signal?

A distributed antenna system is dedicated infrastructure some venues install so multiple carriers can share strong signal across a large space. Where one exists, cellular reliability improves noticeably. Where it doesn’t, you’re relying on whatever tower is nearest the building.

The Takeaway

None of this requires new hardware or a bigger IT budget. It requires treating the venue’s network as a nice-to-have, not the plan, and setting up your own backup before you’re standing in a queue wishing you had.

Blog Author

Peter

I'm Peter, the founder of BazTel.
