That works out to 1–2 GB a day. If you hotspot your laptop instead of using hotel Wi-Fi, or take daily video calls on cellular, plan for 10–15 GB or an unlimited plan. Add a 25% buffer either way. And because plans count in 24-hour blocks, a four-day trip often needs a five-day plan.

Most “how much data do I need” guides give you one number per day. For a business trip, that number is almost useless.

Business travel doesn’t spread evenly. Arrival day is a sync storm. Meeting days are bursty. Conference days are crowded. Departure day is mostly airport waiting.

Before BazTel, I worked in investment analytics for global bank. So I plan a data allowance the way I’d plan a cash-flow forecast. Model each period, stress-test the bad case, and hold a reserve. I’ve rounded for readability.

Activity

Approx. data per hour

Google Maps navigation

5–10 MB

Web browsing

~50 MB

Audio-only call (Zoom, Teams, WhatsApp)

~30 MB

Screen sharing, camera off

22–68 MB

Zoom 1:1 video

540 MB (SD) to 1.62 GB (1080p)

Zoom group video

810 MB to ~2.5 GB

Microsoft Teams HD 1:1 video

~1 GB (based on 1.2 Mbps each way)

Sources: SatelliteInternet’s Zoom data breakdown and Microsoft’s Teams network guidance.

The takeaway is simple. Video is the only line that really matters. One hour of HD group video can use more than a full day of maps, email and browsing combined. Switch your camera off, and the same call drops to roughly 30 MB.

Email and chat are tiny by comparison. Attachments are what bite. A 40-slide deck someone sends you at midnight will cost more than a day of Slack.

The 4-day New York data budget, day by day

This is the “typical” profile modelled out. Your phone sat in airplane mode for 15 to 24 hours. The moment it connects, every app pulls its backlog at once. That first hour on the ground can use more data than an afternoon of meetings.

The time-zone factor nobody budgets for

New York runs on Eastern Daylight Time until 1 November 2026, then switches to Eastern Standard Time. From Sydney, that puts you 15 hours behind in October and 16 in November. From London, it’s usually 5 hours. For one week, 25 October to 1 November, the gap shrinks to 4.

Here’s why that matters for data. Your head office’s morning lands in your New York evening. A 9am Sydney stand-up is a 6pm call in your hotel room in October.

So the evening call becomes the biggest single line in many international travelers’ budgets. Four nights of one-hour video calls can add 2–6 GB on their own. Whether that runs over hotel Wi-Fi or your hotspot decides which plan you need.

Hotel Wi-Fi: the real swing factor

The FBI has warned guests not to assume a hotel network is properly secured. Its public service announcement on hotel Wi-Fi suggests using your phone’s hotspot where you can, and connecting through a VPN.

That’s sound advice, but it has a data cost. Route your laptop through your phone, and everything comes along. Operating system updates, OneDrive or iCloud sync, Teams background traffic. A laptop is far chattier than a phone.

Three settings fix most of it:

Windows: mark the hotspot network as a metered connection. Updates and many syncs will pause.

Mac: turn on Low Data Mode for the hotspot network in Wi-Fi settings.

iPhone hotspot: turn on Low Data Mode under your cellular data options.

There’s also a middle path. Use hotel Wi-Fi with your company VPN for big, non-urgent syncs. Keep the hotspot for live calls and sensitive logins. That one habit moves most people from the security-first row down to typical.

New York quirks that change your number

The subway has gaps. All underground stations have Wi-Fi and cell service. The tunnels between them are still being wired. The MTA is fitting cell coverage across roughly 418 miles of tunnel, line by line (amNY). Apps queue up in the dark, then sync in a burst at the next station. Download offline Google Maps for Manhattan and Brooklyn before you fly.

Free sidewalk Wi-Fi exists. LinkNYC kiosks offer free Wi-Fi across the five boroughs, as do many parks (NYC Tourism). They’re handy for a quick map check. I wouldn’t open client files on them.

The Javits Center has upgraded. It recently completed a $5 million technology upgrade that brought in Wi-Fi 7 (Commercial Observer). Use it for the event app and casual browsing. Keep cellular for anything confidential, and as backup when thousands of attendees hit the same network.

Payments and transit barely register. Tapping your phone at an OMNY reader or ordering an Uber uses almost nothing. Don’t budget for them.

Why a 4-day trip often needs a 5-day plan

Most eSIM plans count validity in 24-hour blocks from activation. Land at 7am Monday and fly out Thursday night, and four days covers you.

But real itineraries rarely fit that neatly. Say you land Sunday at 10pm and leave on a Thursday evening flight. That stretches past four full blocks, so you’d want five.

Check one thing before you buy. Does validity start when you install the eSIM, or when it first connects in the US? If your arrival or departure sits near the edge, buy the 5- or 7-day plan. The extra day usually costs less than a coffee in Midtown.

Unlimited plans: read the fair-use line first

Plenty of “unlimited” eSIMs aren’t unlimited at full speed. I’d rather you know that before you land.

BazTel’s unlimited plans give you 2 GB a day at full speed, then slow to 512 kbps. Hotspot use counts toward that same allowance.

At 512 kbps, email, messaging, maps and audio calls all work fine. HD video won’t. Microsoft lists 500 kbps for basic 360p video calling, so you’d be right on the edge.

The practical fix is timing. Take your heavy video call early in your data day, before routine use eats the full-speed allowance. Then let email and maps run on what’s left.

Seven quick ways to cut data without cutting productivity

Download offline maps of Manhattan, Brooklyn and both airports before you leave.

Mark your laptop’s hotspot connection as metered.

Pause cloud photo backup on cellular until you’re on a trusted network.

Join calls with your camera off when you’re not presenting.

Set Zoom and Teams to standard video, not HD, on mobile.

Turn off automatic app updates over cellular.

Let your arrival-day backlog sync on a trusted connection where you can.

Set up before you fly, not at JFK

Install your eSIM at home on Wi-Fi. It isn’t enough if you take daily video calls on cellular or run your laptop through your phone’s hotspot. In that case, plan for 10–15 GB or unlimited.

Is 1 GB a day enough for business travel?

Only if your video calls happen on Wi-Fi. A single hour of HD video can use 1–1.6 GB by itself.

How much data does a Zoom call use?

A one-on-one Zoom video call uses about 540 MB an hour in standard definition and up to 1.62 GB in 1080p. HD group calls can reach around 2.5 GB an hour. Audio-only uses roughly 30 MB.

Does using a hotspot use more data?

The hotspot itself adds little overhead. The difference is the device on the other end. Laptops run far more background updates and syncing than phones do.

Does my phone work on the New York subway?

Yes, in all underground stations. Coverage in the tunnels between stations is still patchy while the MTA completes its rollout.

Is hotel Wi-Fi in New York safe for work?

Treat it with caution.
